6.5.26 Meeting Notes (June Update)

This summary provides an update for the core team, synthesizing recent correspondence from Jami, and my catching up with Bayley, Patty, Eric, and cousin Michael. This includes the latest logistical confirmations for the July San Francisco pilot trip.

Student Selection and Recruitment

  • Confirmed Participants: Three students have officially been selected for the inaugural trip.
  • Active Leads: Jami is meeting a fourth potential candidate this Saturday, a student currently participating in an upcoming TRIO D.C. trip.
  • Monument Valley Outreach: An advisor is securing contact information for a fifth student lead in Monument Valley, and Jami intends to coordinate with the candidate’s parents shortly.

Chaperone Staffing and Team Alignment

  • Chaperone Team: While Jami’s partner is no longer able to attend, Patty and me are now confirmed and available to assist Jami and Anthony with all chaperone duties during the trip (7/27-7/30-31).
  • July Coordination Call: To ensure the entire team is aligned prior to the test run, Bayley will send out a Zoom invitation for the second or third week of July. I’ll reach out again to Jami prior to the group call to align dates and budgets.
  • Operational Clearances: Jami and Anthony are currently cross-referencing their itinerary with venue filming restrictions. While preliminary research suggests filming is generally permitted, Jami plans to call specific venues to verify.

Media Documentation and Launch Preparation

  • Local Videography: Marc has identified three vetted local candidate videographers and will be reviewing their rates, availability, and interest in documenting the pilot program.
  • Production Timeline: Eric is committed to produce the final edited cut of the pilot footage for its official release during the October 1st launch party on the USU Blanding campus.
  • Required Compliance: A USU media release form must be shared with and signed by all program participants to ensure all captured footage is compliant for future marketing and social media use.

Administrative and Grant Progress

  • D.C. Updates: Jami is utilizing her travel to Washington, D.C., this week for the National Student Leadership Congress to receive critical updates on federal TRIO grants.
  • Project Staging: Jami plans to use her flight time to revamp the TRIO-related sections of RuthellenPollan.comThese efforts support the August 31st deadline for the new grant application, which will incorporate FccV as a “permissible service” for long-term sustainability.
